What personal data we collect and why we collect it


When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: After approval of your comment, your profile picture is visible to the public in the context of your comment.


If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Contact forms

Swart Software Solutions generally only captures personal data related to an individual in the form of e-mail, first name, last name for customer service purposes. When a quote is requested, details regarding whether you have a website, do you have a logo and if you want to support the website yourself are captured. Lastly indication of interest is captured regarding which Product you’re interested in.

Active client data are kept for the lifetime of an active commercial engagement between the transacting parties. Other interested parties and former clients data are kept for 12 months, after which personal data becomes anonymised and/or metadata can be used for reporting in a aggregated and anonymised manner.

Swart Software Solutions only uses the information submitted through contact forms for marketing purposes when you opt-in to our marketing communications. No 3rd parties gain access to your personal details for marketing purposes.


If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies may last for one year.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. By default WordPress does not collect any analytics data. However, 3rd party service providers collect anonymous analytics data to improve their service offering to you via Swart Software Solutions. How long we retain your data

As mentioned before, we keep contact form entries for active clients for the duration of our work relationship, and non-clients for 12 months.

Our website analytics records are kept for a year to ensure we continuously improve our service and user experience.

Customer purchase records are kept for 5 years to ensure requests of historic information by clients can be provided.

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username themselves, please contact [email protected]). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes. How we protect your data

We take security seriously and implement industry best practices to ensure our website and your data is protected. Any known technical vulnerabilities that the team may become aware of is handled with urgency. All administrators are required to have a strong password and have appropriate knowledge of data protection.
What data breach procedures we have in place
In the unlikely event of a data breach, we’ll take immediate action based on the nature of the breach. Responses could range from resetting a compromised user’s account, all the way up to taking the site down and restoring a backup. Any specific users that are affected will be e-mailed as soon as possible and guidance given on the appropriate actions to take.
